Terms and Conditions
These are the terms and conditions associated with private bookings for group tuition, including hen parties.
Payment
Once a query has been provisionally accepted, an invoice with payment information will be emailed to you. Payment of the non-refundable deposit confirms the booking, the balance is payable no later than 2 weeks before the event.
Late Bookings & Payment
No new bookings will be considered with less than 3 clear office days (Mon-Fri) between the enquiry and the requested date of the booking. For late bookings, a minimum of 2 clear office days (Mon-Fri) are required between payment of the booking and the date of the requested booking.
Cancellations;
-deposits will be forfeited for customer cancellations made 2 weeks or more before the event
-customer cancellations made after full payment has been made but more than 1 week before the booking will receive a 25% refund on the full fee
-customer cancellations made within 7 days of the private booking are non-refundable, no credit is available
Delays & Time Alterations;
-customer requests made prior to the day of the booking to change the time of the booking will be arranged by mutual agreement, all bookings are subject to availability
-delays caused by travel are deemed to be the fault of the party traveling, always allow plenty of time
-customer requests made on the day of the booking to change the time of the booking will be accepted at the sole discretion of The Swing Dance Company, changes depend upon the availability of instructors. No booking will be extended without pre-payment.
-customer late attendance or no-show without prior agreement will result in the lesson being reduced in the length or forfeited accordingly
-instructors will be prepared to fulfill the length of their booking (eg 1 hour) when a delay is caused by The Swing Dance Company or its staff.
Health & Safety;
Our lessons are designed as low risk activities, there is minimal risk of injury as a result of attempting any moves taught by The Swing Dance Company's instructors. They will provide breaks for re-hydration at reasonable intervals during longer session.
Potential risks could occur as a result of conditions in the setting, these are deemed the responsibility of the organiser. These may include;
- insufficient space leading to collisions between dancers
- unsafe dance floor surface;
- too slippy (eg wet, overpolished) leading to slips and falls
- not slippy enough (eg carpet, outdoor) leading to sore or twisted joints
- uneven surface leading to trips and falls
For locations arranged by the customer, neither The Swing Dance Company nor its staff, accept responsibility in the event of an accident or injury. They reserve the right to withhold services if an environment is deemed unsafe.
What To Wear
We recommend wearing comfortable clothing and flat-soled, non-marking shoes for most classes. We strictly do not allow stilettos or any other footwear that can damage floors when using premises that we are responsible for.

Terms and Conditions - Private Group Tuition (including Hen Parties)
1. Payment
- 1.1. Once a query has been provisionally accepted, an invoice with payment information will be emailed to you.
- 1.2. A non-refundable deposit, representing 25% of the total fee, is required to confirm the booking.
- 1.3. The balance is payable no later than 2 weeks before the scheduled start time of the event.
- 1.4. Failure to pay the balance by the deadline may result in the booking being cancelled without refund of the deposit.
- 1.5. Payment can be made via bank transfer or online payment link, as specified on the invoice.
2. Late Bookings & Payment
- 2.1. No new bookings will be considered with less than 3 clear office days (Monday-Friday, excluding bank holidays) between the enquiry and the requested date of the booking.
- 2.2. For late bookings, a minimum of 2 clear office days (Monday-Friday, excluding bank holidays) are required between payment of the booking and the date of the requested booking.
- 2.3. The Swing Dance Company reserves the right to refuse late bookings.
3. Cancellations
- 3.1. Deposits will be forfeited for customer cancellations made 2 weeks or more before the scheduled start time of the event.
- 3.2. Customer cancellations made after full payment has been made but more than 1 week before the scheduled start time of the booking will receive a 25% refund of the full fee.
- 3.3. Customer cancellations made within 7 days of the private booking are non-refundable, and no credit is available.
- 3.4. Any refunds will be processed within 14 days of the cancellation.
- 3.5. Refund amounts will be returned to the original payment source.
4. Delays & Time Alterations
- 4.1. Customer requests made prior to the day of the booking to change the time of the booking will be arranged by mutual agreement, subject to instructor availability.
- 4.2. The customer is responsible for ensuring the group arrives on time, regardless of travel delays.
- 4.3. Customer requests made on the day of the booking to change the time of the booking will be accepted at the sole discretion of The Swing Dance Company, and changes depend upon the availability of instructors. No booking will be extended without pre-payment of the extended time.
- 4.4. Customer late attendance or no-show without prior agreement will result in the lesson being reduced in length or forfeited accordingly.
- 4.5. Instructors will be prepared to fulfill the length of their booking (e.g., 1 hour) when a delay is caused by The Swing Dance Company or its staff.
- 4.6. Instructor delay refunds will be processed within 14 days.
- 4.7. The Swing Dance Company is not obligated to accommodate all time change requests.
5. Health & Safety
- 5.1. Our lessons are conducted with reasonable care and skill.
- 5.2. Potential risks could occur as a result of conditions in the setting, and the customer (organiser) is responsible for ensuring a safe venue.
- 5.3. For locations arranged by the customer, neither The Swing Dance Company nor its staff accept responsibility in the event of an accident or injury.
- 5.4. The Swing Dance Company reserves the right to withhold services without refund if an environment is deemed unsafe upon arrival.
- 5.5. The customer (organiser) is responsible for ensuring that all attendees are aware of, and adhere to, the health and safety requirements.
- 5.6. To the fullest extent permitted by law, The Swing Dance Company is not liable for any injuries or damages sustained during the lesson, except in cases of gross negligence.
6. What To Wear

- 6.2. We strictly do not allow stilettos or any other footwear that can damage floors when using premises that we are responsible for.
- 6.3. The Swing Dance Company reserves the right to refuse participation if attendees wear inappropriate footwear.
7. Intellectual Property
- 7.1. Any choreography or teaching materials provided are the intellectual property of The Swing Dance Company and may not be reproduced without prior written consent.
8. Data Privacy
- 8.1. Personal data will be handled in accordance with GDPR and the UK Data Protection Act 2018.
9. Amendments
- 9.1. The Swing Dance Company reserves the right to amend these terms and conditions.
10. Force Majeure
- 10.1. The Swing Dance Company is not liable for failures or delays due to events beyond its control.
11. Venue Specific Rules:
- 11.1. If a third-party venue is used, the customer is responsible for ensuring that all attendees adhere to the venue’s rules.
12. Teacher Substitution:
- 12.1. The Swing Dance Company reserves the right to substitute teachers in case of teacher absence.
13. Recording Restrictions:
- 13.1. Recording of the tuition is prohibited without the express written permission of The Swing Dance Company.
- 13.2 Short clips may be taken for personal use, provided The Swing Dance Company is credited if shared on social media.
14. Customer Conduct:
- 14.1. Customers are expected to conduct themselves respectfully and adhere to the teacher’s instructions. Disruptive behavior may result in termination of the lesson.
15. Termination of Tuition:
- 15.1. The Swing Dance Company reserves the right to terminate tuition if the customer breaches these terms and conditions.
16. Insurance:
- 16.1. The Swing Dance Company holds appropriate public liability insurance.
17. Severability:
- 17.1. If any provision of these terms and conditions is held to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
18. Entire Agreement:
- 18.1. These terms and conditions constitute the entire agreement between The Swing Dance Company and the customer.
19. Dispute Resolution:
- 19.1. Any disputes arising from these terms and conditions shall be resolved through amicable negotiation. If a resolution cannot be reached, the dispute shall be subject to the exclusive jurisdiction of the courts of England and Wales.
20. Equipment and Materials:
- 20.1. In the event of damage to The Swing Dance Company's equipment caused by attendees, the customer (organiser) will be liable for the repair or replacement costs.
21. Food and Beverage:
- 21.1. The Swing Dance Company takes no responsibility for food or beverages brought to the venue. However, reasonable breaks will be scheduled to allow for hydration.
22. Customer Responsibilities:
- 22.1. The customer is responsible for ensuring all attendees have read and understood these terms and conditions prior to the event.
